Making changes to policies

• How do we make changes to policies?

  GPDocs policies are made up of two types of information:

  • Core policy information – can't be changed
    • Best practice, compliance information, and legislation.
    • Requests for changes to core policy text are considered on a case-by-case basis.
  • Practice-specific information – can be changed
    • Fields within the core policy where the practice's details sit, e.g. roles and responsibilities, audit timeframes etc.
    • Requests are actioned by the GPDocs team within two working days.

  Send requests for text changes to GPDocs using the Feedback button at the bottom right of each page.

  The practice's key contact must approve all requests for changes.

• Can we add extra information to policies?

  Sometimes there are other places in policies where we can add a small amount of extra information. However, this is only the case in some policies.

  Requests to add information or documents are considered on a case-by-case basis by the GPDocs team.

• Can you add our policy to GPDocs?

  We are unable to add custom policies to GPDocs for individual practices.

  At times, we develop new policies to add to our core policy set. If there is a particular policy you think we should add that would be useful for other GPDocs users too, let us know.

• Can you add my document?

  GPDocs is not intended to replace your shared drive and we can only add certain documents.

  GPDocs can't add:

  • documents where the same information is already in GPDocs, but worded differently
  • clinical information or procedures
  • administration procedures, e.g. how to use the PMS.
  • information outside of the scope of GPDocs.

  Requests to add additional documents are considered on a case-by-case basis.

• Why can't we change your core policy?

  The wording of GPDocs policies has been carefully chosen by professional writers, who have been trained to write clearly and simply for online use.

  Most core policy wording covers best practice, RNZCGP requirements, and legislative requirements. We don't change core policy wording unless there is good reason.

Using GPDocs for Foundation and Cornerstone

• How can GPDocs help with Foundation?

  GPDocs includes all the policies that are needed for Foundation accreditation. The GPDocs team can add the relevant policies into Smartsheet for you.

  Your assessor will be able to view the relevant policy on your GPDocs site, without logging in.

  You don't need to upload the policies yourself:

  1. Share the indicator page of your Smartsheet with support@gpdocs.co.nz (click the Share button).
  2. Email us to ask for the policies to be uploaded.

  As our policy links go to your live GPDocs site, you can continue to update policies after they have been added to Smartsheet.

• How can GPDocs help with Cornerstone Equity?

  GPDocs includes all the policies that are needed for Cornerstone Equity accreditation. The GPDocs team can add the policies into Smartsheet for you.

  Your assessor will be able to view the relevant policy on your live GPDocs site, without logging in.

  You don't need to upload the policies yourself:

  Ask for your policies to be uploaded to Smartsheet:

  1. Share the Equity indicator page of your Smartsheet with support@gpdocs.co.nz (click the Share button).
  2. Email us to ask for the policies to be uploaded.

  As our policy links go to your live GPDocs site, you can continue to update policies after they have been added to Smartsheet.

• How can GPDocs help with our Cornerstone CQI project?

  Cornerstone subscribers can access our CQI module on their GPDocs website.

  Our CQI module containes step-by-step guidance and templates to support you through your Cornerstone CQI project.

  Follow the guidance in our module to ensure you have everything covered.

• What if our assessor asks for a change to a policy?

  GPDocs policies are compliant and robust, and have been used successfully for hundreds of assessments under the current Foundation standard.

  The RNZCGP Quality Team are familiar with the style and structure of GPDocs policies and support the use of GPDocs policies for Foundation assessment.

  However, new assessors in particular may be unfamiliar with GPDocs. Please get in touch if your assessor questions something about GPDocs, so we can help.
